Extravs 2021: Updates for attendees and entry requirements

Based on the Government’s announcement on Monday 14th June, we are moving ahead with our plans for Extravs in Step 3 of the Roadmap to Recovery

We have been liaising with the Local Authority, Local Police and Public Health to ensure that we can deliver the events safely. We urge you all to adhere to the controls we have in place to ensure the events can happen.  

If we are unable to demonstrate that we are sticking to these guidelines, the events can still be cancelled at any point: before, during or in between the Extravs. 

There have already been a lot of questions about what this means and likely will be many more, this update will answer your queries.

What does this mean for you? 

There are a number of things we will be doing to ensure that the Extravs remain Covid-secure. 

 

Displaying Symptoms of Covid-19 

If you are displaying any symptoms of Covid-19, do not come to the event.

You should: 

  • Get a PCR test (a test that is sent to a lab) to check if you have COVID-19 as soon as possible
  • You and anyone you live with should stay at home and not have visitors until you get your test result – only leave your home to have a test
  • Anyone in your support bubble should also stay at home if you have been in close contact with them since your symptoms started or during the 48 hours before they started

 

Lateral Flow Device Tests (LFDs) 

Before entry to the events, you will need to show evidence of a negative Lateral Flow Test taken in the preceding 48 hours. You’ll need to show us the NHS text message or email that you get when the result is registered. Do not bring the test cartridge as this will not be accepted as proof of a negative test. 

If you take an LFD test on Thursday morning, this would suffice for Extravs on Thursday 1st and Friday 2nd. 

The University encourages everyone on campus to undertake an LFD Test twice weekly on an ongoing basis. We strongly encourage you to also take an LFD test 48 hours after the event, you’ll need to do one before you travel home from the university anyway.

How to get a test? 

Currently, there is a testing site at the University, you can book in for one online. However, with over 4,000 people attending Extravs, we’re encouraging people to pick up a pack of rapid lateral flow kits that can be used at home.  

These tests can be collected from: 

  • College Porters Lodges 
  • Security Reception 
  • University House Reception 
  • The Library 
  • Sports Centre 

You can also pick them up at most pharmacies, there is an online checker to find your nearest one. 

Please, please, please don’t leave picking up your pack of rapid lateral flow kits that can be used at home until the day of the Extravs.    

 

Allocated Seating  

The condition on the Extravs taking place in Step Three is that attendees remain seated at the event with table service in place. 

To ensure that we remain in line with Government guidance and to deliver this effectively, we are operating on tables with a rule of six; the six people on your table must remain on this table for the duration of your stay at the event. The six people can be from any number of households. These six people will form your ‘Extrav bubble’. 

We are unable to allow people to move from group to group and table to table and, unless moving around the event to use the bathroom or the like, you must remain seated. 

Unfortunately, we are only able to accept bookings of six. If your group is unable to fill a table, we will not yet be able to accept a booking from you and would encourage you to complete your 'Extrav Bubble' by finding others on the event Facebook Page. 

This isn’t something we wanted to do to but the alternative is for the Extravs to be cancelled.

How to book? 

To book your table, we will need you to complete this Extrav Table Booking Form with the names and tickets numbers of the six people making up your ‘Extrav Bubble’. Reservations need to be made by midday on Friday 25th June. 

If a member of your group has purchased the ticket from someone else and the ticket is not in their name, please let us know on the form. 

This will be checked and confirmed and your table number sent to you in advance of the event.

 

Table Service 

All orders will be taken via a QR code, scanned with a smartphone. Please be advised that all payments are taken via PayPal. Please ensure that you have a PayPal account prior to the event for ease of service. There will be no other method available to order food or drink from at the event 

Track and Trace 

All attendees at the event will need to check-in. The easiest way to do this is with the NHS Test and Trace App; we’d encourage you to download this before arrival to speed up the process. 

If you don’t have the app, we’ll be taking your details on arrival.   

Social Distancing 

At all times during the events, all attendees and staff should ensure they remain socially distanced. 

When queuing for entry, social distancing must be maintained at a distance of 2m between ‘Extrav bubbles’. 

Masks 

Masks must be worn by all, unless exempt, when queuing to enter and moving around the event but can be removed when seated at your table. 

Hand washing 

All attendees will sanitise their hands on entry. 

In line with University practices, we are encouraging all attendees to regularly wash or sanitise their hands and there will be sanitising stations placed throughout the event. 

Breaches of Covid Secure Protocols 

There are so many things we all have to get right for all of the events to happen so we’re putting in place strict guidelines and enforcements. 

We’re operating on a one warning rule; for any breaches of Covid-security, attendees will receive a warning. After this, attendees will either be refused entry to the event or removed from the event area. 

Whilst this may seem severe, we have to make sure that our controls are followed so none of the events are put at risk.
